Note: Carriers must be checked in between 7:00 a.m. and 2:00 p.m. Any freight not picked up by 4:30 p.m. will be rerouted at the exhibitor’s expense.

SAVE MONEY!

  1. Consolidate freight into a single shipment and ship direct to show site. Warehouse rates are based on a 200 lb. minimum per shipment.
  2. Re-crate and/or re-carton your merchandise to avoid special handling charges.
  3. Observe deadlines for ordering equipment and labor to receive the pre-order discounts.
  4. Obtain proper insurance for your merchandise, including transit to and from the show.

EXHIBITOR REGISTRATION & TICKET PURCHASE

Exhibitor Registration/Badges:

To save time, pre-register yourself and your staff (quantities of available exhibitor badges are dependant on booth size) online at http://www.martreg.com/reg/artistreg/archdigexh.cfm
prior to February 21st. Exhibitor Badges may be picked up at the registration area of Pier 94 the week of March 4. You may also register on-site. If your company has already been allocated your supply of exhibitor badges, you will need to contact Troy Hanson for any additional needs.

Temporary Badges

Exhibitor appointed contractors will be issued temporary badges on receipt of a completed "Notice of Intent to Use an Exhibitor Appointed Contractor" form. Temporary badges, good only during set-up and dismantling times, should be picked up at the show office on arrival. No pass means no entry!

BOOTH AND EQUIPMENT INFORMATION

DESIGN AND CONSTRUCTION OF BOOTHS

Any exhibit deemed unprofessional in appearance, at the sole discretion of Show Management, will not be permitted. Display materials, signs, etc., may not be hung on drapery.

All booths must be fireproofed to regulation standards. Exhibitors shall present a New York State Fire Marshal certificate of flame retardant treatment or a sample of material for a field test upon request of the Fire Marshal.

If you have ordered the wall package, please refer to “Wall Package” for details.

LINEAR BOOTHS

Linear booth (booths with other booths on three sides) backdrops or walls may extend no higher than 10 feet, lights or lighting rigging to 10 feet high maximum. There is no setback rule for this show.

ISLAND BOOTHS

Island booth (booths with aisles on all sides) displays may not exceed 12 feet in height.

PENINSULA BOOTHS

Where a peninsula booth (a booth with aisles on three sides) abuts linear booths, the back wall may extend to a height of no more than 12 feet. Where a peninsula abuts another peninsula, the maximum height is 12 feet. All peninsula back walls must be finished on both sides and must not interfere with their neighbors' display. No signs, logos, etc. are permitted on the back of a peninsula's backwall. Other than the above, a peninsula is treated as an island.

COLUMNS

If your booth space abuts a building column, please contact Show Management for regulations on using the column as part of your display.

COVERED BOOTHS

All booths with covered ceilings must be approved in advance by Show Management.

CEILING HEIGHT

12’6” to 13’6” clear height variable.

DECORATOR SERVICES

GES Exposition Services is the official provider of decorating services. To order Booth Identification Sign, Cleaning General/Booth, Furniture & Accessories, Hanging Signs, Labor, Shipping & Material Handling, and Third Party Billing, contact GES Exhibitor Services at (800) 475-2098.

CARPETING

Aisle carpet color is dark brown. Exhibitors must provide booth floor covering or order such from GES. Booth carpeting can be ordered through GES.

HANGING SIGNS

The ability to hang signs from the ceiling is restricted due to the low ceiling heights. Please contact Show Management at (312) 527-7514 regarding the hanging of signs from the ceiling. All hanging signage must be done by GES.

LIGHTING AND ELECTRICAL SERVICES

All electrical services will be provided or supervised by Port Electrical technicians. Electrical services should be ordered in advance using the "Electrical Services Order" form. Prepayment is required.

Electrical equipment must conform to City of New York code requirements.

Examples of these requirements are as follows:

  1. All wiring or flexible cords shall be 3-wire, "hard usage approved", 14 gauge, grounded, unless cord is a component part of an assembly approved by a nationally recognized testing laboratory or the City of New York.
  2. Only porcelain socket lamps or plastic lamp holders may be used. Brass-shelled socket lamps are prohibited.
  3. Exhibit spot or floodlights must be positioned so as to be "unreachable" by the public, free from and unattached by any material or fabric.

PARKING

There are several parking facilities surrounding the Show Piers. Private cars access to the Show Piers on the Hudson by using the automobile ramp at 55th Street and 12th Avenue. All vehicles should follow signs for the NYC Passenger Ship Terminal parking.

WALL PACKAGE

The walls, as applicable to your lease package are 4’ wide x 10’ high x 3” thick. The actual wall construction consists of a 1” – 1½” vertical rib on center, with horizontal ribs running every 24” on center, from top to bottom. The wall panels are covered in a 1/4” masonite facing. Walls will be white, with the ability to accept screws or nails. However, we can not guarantee the condition of the walls and strongly recommend that exhibitors paint, wallpaper, apply fabric covering, etc.

SHIPPING AND MATERIAL HANDLING

MATERIAL HANDLING

Option I: Direct Shipments to Show Site
All costs for on-site exhibit handling are included in the booth cost. On arrival at Pier 94, GES will provide the following services at no cost to the exhibitor: receiving material during move-in, delivering it to your booth, removing empty containers and returning them after the show, delivering materials back to the dock and loading for outbound shipping.

Option II: Advance Shipping to Warehouse
Includes services provided under Option I and allows storage up to 30 days in advance of show, reloading and delivery to show site. This option is available at a cost of $32.75/cwt.

If you are shipping with Yellow Transportation, they will once again consolidate advance shipments for the show at no charge and deliver directly to Pier 94 within the Option I schedule. You may obtain information by contacting Yellow Transportation at (800) 610-6500, option 5, then option 6 for Exhibitor Services.

SHIPPING

General Shipping Guidelines

  1. Consolidate all freight—booth, merchandise, literature, etc.—into one shipment.
  2. Clearly label all packages with show name; company name and booth number. Remove all old labels.
  3. Shipments that are loose, not crated or cased, or have unskidded cartons are time-consuming and difficult to maneuver. This takes time away from your set-up, and can result in special handling charges.
  4. Create a detailed inventory sheet of every item you are shipping or bringing to the show. Be able to provide the number of units, item descriptions (i.e. cartons, cases, crates, and/or individual items) and weight for all shipments being delivered to the Show.
  5. All shipments should include piece count to ensure proper tracking, manifesting, and delivery of freight.
  6. Insure your merchandise against theft, damage, and loss from the time it leaves your facility until it returns

OPTION I Direct Shipments to Show Site

You may ship your materials to arrive between 8:00 a.m. to 4:00 p.m. on Tuesday, March 4 and 8:00 a.m. – 3:00 p.m. on Wednesday, March 5. Instruct your carrier to arrive early and not to withdraw from the delivery line until your merchandise has been delivered.

OPTION II Advance Shipping to GES Warehouse

Goods may be shipped to arrive within the 30 days period prior to the show but NO LATER than February 28, 2008. Hours of operation are from 8:00 a.m. – 4:30 p.m. The warehouse cannot accept collect or uncrated shipments. Freight will be in your booth when you arrive.

A 30% penalty is applied to any warehouse shipment that arrives outside the designated schedule.

FREIGHT MOVE-OUT

Note: Carriers must be checked in between 7:00 a.m. and 2:00 p.m. Any freight not picked up by 4:30 p.m. will be rerouted at the exhibitors expense.

Outbound Shipping

You may ship your materials from the show via any carrier. However, GES Logistics is the preferred shipper and will be on site to assist you. You are required only to pack your material, and after it is packed, to file a Material Handling Agreement (bill of lading) with the service desk. Neither GES Logistics, GES Exposition Services, nor Merchandise Mart Properties, Inc. assumes responsibility for shipments until they are collected from the exhibitor's booth. A representative of the exhibitor should remain to watch their property until this has been done. You may obtain blank bills of lading at the GES Service desk. NOTE: Any exhibitor material not picked up by 4:30 p.m., March 10, 2008 may be forced or sent to the drayer's warehouse at the exhibitor's cost for storage while awaiting the exhibitor's instructions.

STORAGE

No packing materials may remain on the show floor while the show is open. Flammable containers must be removed from the hall. GES will, if required, arrange for the removal and return of such items.

When your containers are empty, obtain "EMPTY" labels from the service desk. Use the labels to mark your crates, boxes and containers with your company name and booth number. Leave the containers in the aisle. Labeled containers will be returned to you at the end of the show. Do not store anything in these containers. They will not be available, and are not in the care and custody of the show or any vendor.

SET-UP AND DISMANTLING INFORMATION

SET-UP PROCEDURES

Set Up Hours:
Tuesday, March 4 — 8:00 a.m. – 6:00 p.m.
Wednesday, March 5 — 8:00 a.m. – 5:00 p.m.
Exhibitor set-up begins at 8:00 a.m. on Tuesday, March 4. Exhibitors may begin dismantling their displays at 6:00 p.m. on March 10, 2008. Exhibitors placing labor orders on-site will pay the posted labor premium and should expect to wait several hours for services. Exhibitors are strongly advised to pre-order all labor by February 19 to avoid steep surcharges.

Members of the Display Labor Union have jurisdiction over all set-up and dismantling of exhibits including signs and laying of carpet. This does not apply to the unpacking and placement of your merchandise. Refer to Union Regulations.

NOTE: Exhibitors may hand-carry small items or may use a small luggage cart for assistance, if necessary. Exhibitors will not be permitted to bring handcarts, flatbeds or dollies onto the floor. Assistance to unload and/or reload vehicles at the dock is provided by GES under Option I below. Exhibitors should not bring additional personnel to unload/load vehicles. GES will coordinate all traffic and activity via the marshalling yard. Please review the appropriate forms to determine when overtime rates are applicable during move-in/move-out. Move-Out: It may take a few hours for all empty crates and boxes to be returned. Should any exhibitor, its agents, or contractor fail to remove their property by March 10, 2008, the exhibitor shall indemnify Show Management in respect to any claim thereby occasioned. Show Management shall be entitled, but not obliged, to remove such materials at the exhibitor’s expense and liability. Show Management reserves to right to specify the time at which individual booths and exhibits shall be removed.

DISMANTLING PROCEDURES

Exhibitors must break down their booths during the following posted hours.
It may take several hours for all empty containers to be returned.

CONTRACTOR AND LABOR INFORMATION

EXHIBITOR APPOINTED CONTRACTORS

It is the exhibitors' responsibility to see that their agents abide by the "Rules and Regulations of the Exhibition". EACs must return the "Exhibitor Appointed Contractor" form.

CONTRACTOR GUIDELINES

Exhibitors who wish to employ EACs should make known to them the guidelines to be followed as urged by the Exhibit Designers & Producers Association, plus the following qualifications to those guidelines:

  • The EAC shall be given the right to provide services requested of them by an exhibitor in set-up and dismantling on the show floor, and shall have the right to utilize qualified employees registered in advance.
  • Services shall not conflict with labor regulations or contracts including jurisdictions claimed by local labor unions. The EAC shall adhere to the rules and regulations in this manual.
  • The EAC shall possess a valid public liability and property damage insurance policy for at least $2,000,000. The certificate of insurance must name Merchandise Mart Properties, Inc., Merchandise Mart L.L.C., 350 North Orleans L.L.C., Vornado Realty Trust and Vornado Realty L.P. as additional insured and GES Exposition Services and The Unconvention Center as co-insured.
  • The EAC shall have a true and valid work order from an exhibitor in advance of the show move-in date and shall not solicit business on the show floor or during move-in or move-out dates.
  • The EAC will share with GES all reasonable costs related to their operation including overtime pay for stewards, restoration of the exhibit space to its initial condition, etc.
  • The EAC shall cooperate fully with GES, especially with regard to the efficient utilization of labor.

UNION REGULATIONS

Union labor will be required for certain aspects of your exhibit handling. Your personnel are encouraged to work with a union installer in a supervisory role. NOTE: An exhibitor may set up their exhibit display if one person can accomplish the task in less than 1/2 hour without the use of tools. If your exhibit preparation, installation or dismantling requires more than 1/2 hour, you must use union personnel supplied by GES.

AUDIO VISUAL

The official audio visual vendor is Port Parties. See the Order Forms section of the manual for more information.

CATERING

Battery Gardens is the exclusive caterer. See Catering form for catering selections.

CUSTOM SIGNAGE

Custom signs are available from GES.

FLORAL

Please check back for the official floral vendor.

INTERNET ACCESS

The official internet access provider is Transbeam.

PEDESTALS

To rent pedestals for your booth set-up, please see the Easy Pedestal form.

PRESS OFFICE

Each exhibitor should prepare 25-40 press releases and deliver them, between 10:00 a.m. and 3:00 p.m. on Wednesday, March 5, to the Press Office.

PHOTOGRAPHY, VIDEOTAPING & BROADCASTING

Photographing, videotaping, filming, or sound recording is prohibited without the prior written consent of Show Management. Permission should also be obtained from individual exhibitors prior to the filming of their exhibit.

SECURITY

Show security will be on duty 24 hours a day from move-in to move-out, but cannot and should not be counted on to provide more than a presence to inhibit theft. Exhibitors can hire the services of a guard by contacting Show Management at (312) 527-7514.

SMOKING

Pier 94 is a non-smoking facility.

TELECOMMUNICATIONS

Telephone lines can be ordered through Verizon. See the Order Form section for more information.

TIPPING

Show Management requests that exhibitors do NOT tip labor. It is considered a destructive practice leading to a lack of rapport between management and labor.

TRAVEL

Mart Travel Services offers discounted rates for exhibitors and attendees traveling to New York for the Show. A hotel reservations form is included in the Forms section of this manual.
